I talk to small business owners every week. Here are the AI tools that keep coming up — not the ones with the best marketing, but the ones people actually use daily and would notice if they disappeared.

This list is current as of March 2026. I update it quarterly.

Operations & Productivity

Claude / ChatGPT

What it does: General-purpose AI assistant for writing, analysis, brainstorming, coding, and research.

Best for: Drafting emails, summarizing documents, analyzing data, creating SOPs.

Price: Free tiers available; Pro plans $20/month.

Our take: Every business should have at least one team-wide AI assistant. Pick one, standardize on it, and build your prompt library there.

Notion AI

What it does: AI built into your workspace for notes, docs, and project management.

Best for: Teams already using Notion. Summarizes meeting notes, drafts documents, fills databases.

Price: $10/member/month add-on.

Our take: If you're a Notion shop, the AI add-on pays for itself in week one.

Zapier + AI Actions

What it does: Connects your apps and adds AI processing steps between them.

Best for: Automating multi-step workflows without code. Route emails, process forms, update CRMs.

Price: Free tier; paid plans from $20/month.

Our take: The glue that holds AI workflows together. Essential for any business automating more than one process.

What it does: AI copywriting specifically designed for marketing teams.

Best for: Blog posts, ad copy, email campaigns, social media content.

Our take: Better than general-purpose AI for marketing copy because it's trained on high-performing content patterns.

Canva Magic Studio

What it does: AI-powered design tools built into Canva.

Best for: Social media graphics, presentations, marketing materials.

Our take: If your team creates visual content (and they should), this eliminates the need for a designer on 80% of tasks.

Our take: Pay-per-resolution pricing is genius. You only pay when it actually helps a customer.

Best for: E-commerce and service businesses. Handles FAQs, collects leads, routes complex issues.

Price: Free tier; paid from $29/month.

Our take: Great entry point for businesses that want AI support without a big commitment.

How to Choose

Don't pick tools based on features. Pick them based on your Tier 1 tasks (see our article on the Automation Hierarchy). Then:

1.One tool per category to start. You don't need Jasper AND ChatGPT for writing.
2.Free trials first. Every tool on this list has a free tier or trial period.
3.30-day evaluation. Use it daily for 30 days before committing to an annual plan.
4.Team adoption or bust. A tool that only one person uses isn't worth paying for.
